By participating in the 2025 Sado International Triathlon (Type A: 29th Japan Long Distance Triathlon Championships) or the 24th Sado Junior Triathlon (hereinafter referred to as the "Event”) [Date: Sunday, September 7th, 2025 (24th Sado Junior Triathlon: Saturday, September 6th, 2025)], you agree to abide by the competition rules, tournament regulations and local rules established by the tournament organizer (hereinafter referred to as the "Organizer"), and understand and agree to the following Terms and Conditions before participating in the event.
<Participant Responsibility: Rules and Physical Condition>
1. As the event will be held on public roads, facilities, and beaches, participants must comply with all rules, regulations, and instructions issued by the organizers, as well as standard traffic laws and regulations. By participating, you acknowledge that you have read the "Event Guidelines" and assume all risks associated with participation in the event. You are solely responsibly for managing your health and safety and must withdraw immediately if your physical condition changes or health issues arise.
<Acknowledgment of Risks and Medical Requirements>
2. Participants acknowledge that this multi-sport event occurs in a rapidly changing outdoor environment, and that athletes' physical condition may change quickly. They also understand that the event venue includes large, unstable areas (outdoors or in large facilities), which may hinder immediate first aid or emergency response. Participants must be in sufficient health to compete, verified by a physician’s examination within the past year. Any pre-existing conditions, allergies, hypersensitivities or other critical information (including any religious considerations for medical treatment in the case of an emergency) must be disclosed in writing to the event organizers in advance. The organizers may require supporting medical documentation, such as health certificate or stress electrocardiogram.
<Compliance with Removal and Consent to Emergency Treatment>
3. Participants must comply with any decision by an event official to remove them from the race for any reason. While participants are ultimately responsible for their own safety and discretion during the event, they acknowledge the authority of the event organizers or authorized representatives to withdraw them from the race due to medical concerns. In the event of an injury, accident, or illness, participants consent to the administration of first aid or other medical treatment by event medical staff, organizers or their designees. Participants wave any right to contest the nature or quality of the care provided.
<Liability for Injury or Fatality>
4. All tournament officials and volunteers are held harmless and indemnified from liability for any injury, permanent disability, or death sustained by a participant, guardian, family member, or other attendant during the competition, practices, or related events, regardless of cause. Compensation for participants is limited to the coverage provided by the tournament's personal injury insurance. Accordingly, participants, along with their executors, trustees, heirs, or next of kin, waive the right to file any claims, lawsuits, or demands for damages, including attorneys' fees, beyond the scope of said insurance.
<Disclaimer of Liability for Force Majeure Events >
5. The organizers shall not be held liable for any loss, damage, or expense incurred by participants due to the cancellation, interruption, delay, or rescheduling of the tournament or any of its events resulting from a force majeure event. This includes, but is not limited to, natural disasters (e.g., earthquakes, storms, floods), acts of government, war, terrorism, public health emergencies, accidents, or any other circumstances beyond reasonable control. In the event of such a cancellation, the organizers may, at their sole discretion, provide a partial refund of participation fees after deducting committed, non-recoverable costs. All other expenses incurred by participants, including but not limited to travel and accommodation costs, are the sole responsibility of the participant.
<Participation Fee Refunds>
6. Participation fees and other incurred expenses are non-refundable and non-transferable if a participant withdraws, desires to change their event, or is otherwise unable to participate for any reason.
<Media and Publicity Release>
7. By participating in this event, participants grant the organizers and the governing sports federation the irrevocable right to use their name, likeness, image, portrait, voice, athletic history and biographical information (collectively, “Likeness”) in any and all media – including but not limited to the event website, promotional materials, press releases, broadcasts, print, video and commercial products – for purposes of promotion, reporting, and publicity, both now and in the future.
<Participation Consent, Dispute Resolution, and Exclusive Jurisdiction>
8. Participants, along with their family members, guardians, and related parties, affirm that all registration information provided is accurate and complete. By participating, they acknowledge that they have fully read, understood, and agreed to these Terms and Conditions, including all details of the event and its accident insurance. Any disputes arising from the interpretation of these terms shall be resolved pursuant to the event’s rules and procedures. This agreement shall be governed by the laws of Japan, and the Niigata District Court shall have exclusive jurisdiction as the court of first instance for any such disputes.
Handling of Personal Information
The organizers recognize the importance of personal privacy and are committed to protecting personal information in strict compliance with the Personal Information Protection Act and all other applicable laws and regulations, in accordance with our Privacy Policy. To enhance services for participants, we will use collected personal information for the following purposes: Managing tournament participation and registration, notifying participants of records, results (including rankings), and other event-related information, providing information about future events, communicating regarding services from event sponsors, partners and related organizations, and contacting applicants to verify registration details. Information may be shared with trusted contractors acting on our behalf for these purposes.
Accident Insurance
The organizer will secure event accident insurance for all participants. Furthermore, members of prefectural sports organizations and university groups are also covered by their respective group accident insurance (Triathlon Safety Insurance, etc.) in addition to the event policy.
